EXCLUSIVE CRM Series: CRMs and AI – how combining the two could help your charity

In the Charities Aid Foundation’s 2025 UK Giving Report, CEO Neil Heslop highlights a trend that many in the sector have been feeling for years: we are relying on an increasingly smaller group of people to give. Fewer donors are supporting more of the sector’s work, and that makes stewardship more important than ever.

Supporters need to feel seen, valued and appreciated. Plus, they need communication that feels personal, relevant and timely. But with teams under pressure and resources stretched thin, delivering this consistently can feel difficult.

That’s where the partnership between CRMs and AI has the potential to become transformational for charities.

5 ways charity CRMs and AI can work together

Think of AI as the engine and your CRM as the fuel. The CRM holds your supporter data; AI helps you use it in smarter, faster, more personalised ways. Here are five ways combining the two could help your nonprofit improve tasks, relationships and workflows.

1. Personalised supporter journeys at scale

AI can analyse behaviour, donation history, email engagement and event attendance to suggest (or automatically create) personalised touchpoints.

Examples:

  • Tailored thank you messages
  • Smart segmentation such as ‘likely lapsing’ or ‘most likely to give’
  • Automated but personalised stewardship journeys

2. Predictive analytics for better fundraising decisions

AI can spot patterns humans may miss, meaning fundraisers can direct their limited time towards the activity or audiences that are likely to provide the greatest return.

For example, it could help to forecast:

  • Who is most likely to give again
  • When a supporter is likely to lapse
  • Which campaigns may perform best
  • Optimal times to send emails or launch appeals

3. Smarter content creation

AI tools integrated into CRMs or used alongside can help to generate materials such as the following:

  • Draft fundraising emails
  • Social posts
  • Thank you letters
  • Event follow-ups
  • Impact reports tailored to different donor segments

4. Improved supporter experience

With the right setup, supporters receive communications that feel relevant, timely and appropriate to their relationship with your charity.

For example, AI can ensure:

  • New donors receive an immediate, personalised welcome
  • High-value donors never go months without a communication from you
  • Newsletter content matches supporter interests

5. Automation of repetitive team tasks

Freeing up fundraisers to focus on relationships, not admin.

AI can take on:

  • Data cleaning
  • Logging interactions
  • Tagging donors
  • Drafting handwritten-style notes
  • Generating reports

The top CRMs with AI for charities

Here are five widely used CRMs in the charity sector that already integrate AI – or have the potential for AI add-ons. To read more about some popular options, see our blog on the top CRM systems for charities.

1. Beacon CRM

Best for small to medium charities that want simplicity with flexible AI add-ons.

  • Lightweight, modern and charity-focused
  • Generous selection of native integrations
  • Great user experience – intuitive and efficient

2. Salesforce (Nonprofit Cloud)

Best for medium to large charities with complex needs or digital maturity.

  • Built-in Einstein AI for predictive donor scoring – enabling teams to make informed decisions about where to focus resource
  • Good automation and segmentation
  • Strong reporting
  • Highly customisable
  • Specialist packages for grant makers which include branded customer portals, online application forms and other grant management features.

3. Microsoft Cloud for Nonprofit (Dynamics 365)

Best for charities wanting seamless collaboration tools built in.

  • Uses Microsoft’s Copilot AI across CRM functions to make predictions for who is likely to give as well as offer help with drafting emails, summarising meetings or calls and personalising messages
  • Good option for organisations already using Microsoft 365
  • Strong data security and integrations

4. Blackbaud Raiser’s Edge NXT

Best for established fundraising teams looking for deep sector-specific tools.

  • AI-enabled donor insights in some packages provide recommendations about major giving likelihood, wealth capacity and donor prioritisation, offer AI-assisted thank you letters to generate more personalised messages, and feature smart donation forms that have the ability to suggest specific ask amounts based on individual donor behaviour
  • Predictive modelling (e.g. donor likelihood scores)
  • Large user community

5. Donorfy

Best for smaller teams wanting an accessible starting point.

  • UK-based, designed for charities
  • Integrates easily with external AI tools
  • Good value

Considerations when looking for AI features

Before committing to a platform or tool, look out for:

1. Genuine benefits

Some CRMs slap ‘AI’ on features that are really just basic automation. When having initial conversations with providers, ask what AI models they use and how they generate predictions (see more on this in point 4).

2. Lack of transparency

AI should be explainable. If a system claims a donor has ‘high giving potential,’ you need to be able to understand why.

3. Poor data hygiene

AI is only as good as the data it uses. If a CRM doesn’t support good data cleaning, validation or deduplication, predictions will be unreliable.

4. Privacy concerns

Make sure you are clear about:

  • Where data is stored within the CRM
  • How AI models are trained ie. what factors its taken into consideration to make its recommendations – is it based on your own data (and could it be being used to train AI recommendations for other organisations – a potential GDPR issue)
  • Overall GDPR compliance

5. Over-automation risk

AI should enhance and complement, not replace, human relationships. If a CRM pushes fully automated donor journeys without human intervention, tread carefully.

6. Vendor lock-in

Some CRMs charge extra for AI features or make it hard to switch providers later. Remember to check contracts and export options.
